Microsoft Outlook is a popular e-mail client application that provides a variety of services to users. It is not just an e-mail client. Actually it acts as a personal information manager that stores not only important mailbox data, but also handles them accurately. This creates an Outlook data file with a PST or personal storage table to store all of the mailbox data for that email account that is configured with the Outlook email client. Outlook allows configuring multiple email accounts at once

As an Outlook user, you should have seen duplicate items in Outlook PST files. There are several reasons why duplicate items such as e-mail, contacts, calendars, tasks, notes, journals, etc. For example: you receive the same e-mail message from your friend or teammate several times. This is probably the most likely cause of a large amount of duplicate items. There are other reasons, but not so obvious.

  • If you improperly synchronize your laptop or mobile device or the synchronization process is interrupted for some reason, duplicate items may be increased.
  • Duplicate e-mail may also be generated from the mail server error, especially when you activate "Leave Messages on the Server" settings.
  • If Outlook rules are set incorrectly, ie if two or more "copy one copy" rules apply to a certain incoming message, this may result in e-mail copying.
  • Sometimes merging multiple PST files into one file may cause duplication in emails or other mailboxes.
  • An antivirus software can also create repetitive items in Outlook PST files.

Multiple copies of the same messages or other emails can cause confusion or disturbance in the MS Outlook email client. If your PST file contains a wide range of mailbox data, Outlook will consume more memory, disk space, and CPU usage. And after a while, Outlook starts slowing down performance. Usually, Outlook will slow down if the mailbox size reaches 2 GB or exceeds this size limit.
